Tip #1711 – Import your Sales Goals Quickly with the dynaMACS Optional Module – eSi

Save hours of manual entry by exporting your sales data out of Sales IQ, manipulate the annual number and simply import your sales goals for the next year back into dynaMACS.

Export your sales numbers out of Sales IQ

  1. From the Sales IQ screen enter in a sales rep that you would like to create goals for.
  2. Select the GlobalView Tab.
  3. Select ALL from the Selector drop-down list.
  4. Wait for dynaMACS to process your request.
  5. Select the Export button.
  6. Name the file and place it in a directory that you will remember where it is located.
  7. Exit out of Sales IQ.
  8. Find the file that you just saved. Double click on it and the file will open in Excel.
  9. Insert a column next to the Sales Jan-Dec 17 column (F) and name it Goals.
  10. Create the formula with the percent that you would like to change. (Example shows 15%).
  11. Copy the formula down the spreadsheet and save it as a csv file.
  12. Go into the eSi reformat screen for dynaMACS.
  13. Map the Goals.
  14. Process through the rest of the eSi steps.
  15. NOTE: Make sure that you are posting the session to January of the year that you want the goals to go into. (Example:  01/2018)

Navigating the New dynaMACS Website

We have made navigating through our website easier providing information right at your fingertips.  To get to a subject on our website simply scroll over the subjects at the top of the dynaMACS home page where you can select an item from the drop down list.  Below is an example of the display of the STANDARD SYSTEM list.  Selecting one of these items will take you directly to that page for more information.  You can do the same for OPTIONAL MODULES, RESOURCES, BLOG, ABOUT US and SUPPORT.

  • Standard System:  Shows detailed information about the modules that are included when purchasing the Standard dynaMACS system.
  • Optional Modules:  Explains additional modules that are available for purchase along with the dynaMACS Standard system.
  • Resources:  Will take you to our on-line Case Studies and Quick Quotes from our clients, Schedule a Demo, FAQ’s and upcoming Events that we will be attending.
  • Blog:  The blog will give you access to the Case Studies, our Monthly Tips, and Demos which help our users discover the best way to utilize the dynaMACS features.
  • About Us:  Selecting this will take you the History of our company, our Mission Statement, the Information Kit request form and to Schedule a Demo.
  • Support:  While on a dynaMACS support call you may be asked to connect online with the dynaMACS Customer Support Rep.  From the dynaMACS home page simply scroll over SUPPORT at the top and then select Quick Connect (.exe) from the drop down list and follow the prompts. You can also access information on Getting Started, Online Help, System Requirements, how to contact our Support Team via email and the dynaCARE Members area where you can download the software and updates.

Note:  When you select the executable file (.exe) for download, you will need your dynaMACS serial number (Dxxx) and your most recent authorization code.  This information can be found in dynaMACS under Help>About dynaMACS.

You can also access these features by scrolling down on the home page and clicking on dynaMACS Standard System or Optional Modules subject title (i.e. SOFTWARE OVERVIEW) which will take you directly to that page for more information.

Clicking on the Up Arrow  in the lower right hand corner of the screen will take you back to the top of the dynaMACS home page.

If you scroll down a little further on the dynaMACS home page you will find a link where you can schedule a personalized demo of dynaMACS software by selecting the link Sign up for your free, personalized demo now.

At the bottom of the dynaMACS home page you will find dynaMACS Resources.  You can click on a subject title (i.e. BLOG) which will take you directly to that page.

From any page on the website you can click on the dynaMACS logo in the upper left hand corner to get back to the dynaMACS home page.

Tip #1705 – dynaMACS Helps Agencies get Sales & Commission Information Electronically with this Manufacturer Benefits White Paper

Electronic Sales Information (eSi) is the electronic distribution of sales information from manufacturer to sales agencies. The dynaMACS eSi module can replace hours of data entry with a quick and easy process of automatically importing sales information from manufacturers that email their sales information in a spreadsheet format.

The move to dynaMACS eSi requires a simple change in an administrative process on the part of the manufacturer.  Instead of paper reports, the manufacturer produces a spreadsheet that contains the same information and sends it via email to sales agencies. The manufacturer buys no special software, no additional hardware and actually saves money by reducing paper, postage and administrative support costs. The agency receives the information on the same day the manufacturer sends it. The agency can then process the information immediately and if desired, distribute it to sales reps in the field.

The eSi process:

  1.  The agency receives data from the manufacturer via email, CD, or Internet download. No more waiting days or months for data.
  2. Data is provided in a standard comma-delimited (.csv) format or spreadsheet, for automatic upload to the agency database. Data entry is eliminated and so are operator errors.
  3. The agency processes the file to identify new or first-time customers and to balance total sales and commission amounts. Files are updated using dynaMACS’ easy on-screen error correction and new customer lookup capabilities. Your manufacturer customer codes are automatically matched to dynaMACS codes.

Tip #1704 – Quickly Identify New and Inactive Manufacturers in dynaMACS Sales IQ

The Sales IQ screen has been enhanced in dynaMACS Version 2016 to quickly identify new manufacturers and inactive manufacturers with a color scheme.  This is based on the Manufacturer Status in the manufacturer record.

  1.  A NEW manufacturer name will now be displayed in the color GREEN.
  2.  An INACTIVE manufacturer name will now be displayed in the color RED.

Tip #1701 – Using the dynaMACS System Information Setup Screen to Pre-Select Reporting Options

In dynaMACS you can set defaults for some of the reporting options which will save you time by eliminating the need to set them each time you run a report.

  • You can choose to build State/Region codes on the fly when running a Sales Analysis report if they are missing from the customer record.  This feature will combine the State Code plus the first 3 digits of the zip code from the customer address.
  • When running Sales Analysis reports you can choose to automatically skip to a new page for select codes if the Customer ABC code contains any one of the pre-selected codes.
  • Print Sales Analysis reports sorted alphabetically by the Look-Up code rather than Customer code.
  • Set Agency Commission printing options to Print Always, Never, or Prompt the user.
  • Set default to turn off automatic page skipping on all general reports.

Access Reporting Options

  1. From the dynaMACS main screen select Other Functions> Administration>System Information Setup. 
  2. Select the Reporting Options tab from the System Information Setup screen.

Select Options for Sales Analysis Reports

  1. To build the State/Region code “on the fly” in Sales Analysis reports, select the checkbox.
  2. To set Page Skipping for customers with the pre-selected ABC codes, enter the ABC code here.
  3. To print Sales Analysis reports sorted in alphabetical order using the Look-Up code rather than the Customer code, select the checkbox.

Select Options for Sales Entry/Commission Reconciliation/Open Invoice reports

  1. Select your preference for Printing Agency Commission from the drop down box.
    • Prompt will prompt the user to print Agency Commission for users that can see commissions.
    • Never Print will set the default so Agency Commission will never print for all users.
    • Always Print will set the default so Agency Commission will always print for users that can see Agency Commissions.
  2. To disable automatic page skipping, check the box next to “Default for Don’t Skip Page on Level Break”.
  3. After all of your Reporting Options have been selected, click on the Save button.

Tip #1612 – Using the dynaMACS System Information Setup Screen to Set the Frequency and Warning Messages for Restore Points

Restore points in dynaMACS are important when performing some functions such as posting sessions or doing transfers. (Please see Tip #1308 on the importance of creating a restore point.)  In dynaMACS you can control when your Restore Points are required or set a warning when the Restore Point SHOULD be done.  The following tip will walk you through setting this up.

Setting the Restore Point Frequency/Warning Message

  1. From the main dynaMACS screen select Other Functions>Administration>System Information Setup.
  2. Select the Restore Points tab at the top of the System Information Setup screen.
  3. There are three processes for which you can setup warnings or required defaults.
  4. Select the appropriate radio button.
    • Required Everytime will force the user to create a restore point each time this process is run.
    • Required Once Daily will force the user to create a restore point the first time this process is run each day.
    • Warning Everytime will display a warning to create a restore point each time this process is run.
    • Warning Once Daily will display a warning to create a restore point the first time this process is run each day.
    • Never will not show a warning or force a restore point when this process is run.

5.   Once your selections have been made click on the Save button.
